Business Challenge
Following several mergers and acquisitions, the client faced significant challenges with their IT asset management:
- Inconsistent inventory records across multiple systems (ServiceNOW, legacy systems, and Salesforce)
- Outstanding deprovisioning tickets for equipment no longer in use
- Potential "zombie" equipment consuming power and space but not being billed
- Security risks from unknown and unauthorized equipment
- Excess software licenses that could be recaptured
- Multiple disparate systems with incompatible data structures and coding schemes

CONVX was engaged to develop and implement a comprehensive audit and optimization solution that would:
1. Perform a physical inventory of all equipment 2. Reconcile physical inventory with multiple IT management systems 3. Identify discrepancies between physical reality and system records 4. Create actionable reports for billing reconciliation, inventory management, deprovisioning, and license optimization 5. Execute deprovisioning of unused equipment
Pilot Phase: Denver Data Center
CONVX demonstrated its methodical approach by starting with a pilot project at the client's Denver facility:
Phase I: Physical Inventory
- Conducted a detailed physical inventory of 49 cabinets containing customer-dedicated equipment
- Documented equipment types, manufacturers, models, serial numbers, ownership details, and exact location data
- Photographed each rack to create accurate visual documentation
Phase II: Data Integration & Reconciliation
- Extracted data from multiple disparate systems: ServiceNOW, IPS, Salesforce, and license management systems
- Developed sophisticated data mapping algorithms to correlate records between incompatible systems
- Created comprehensive reconciliation reports that identified:
- Equipment not being billed
- Equipment missing from CMDB
- Outstanding deprovisioning tickets
- Excess software licenses
Full-Scale Implementation: Allentown Data Center
Based on the successful pilot, CONVX was engaged to implement the solution at a much larger scale:
- Inventoried 230 cabinets containing approximately 2,500 devices in the Allentown, PA facility
- Applied the same disciplined methodology but with enhanced automation to handle the increased volume
- Expanded data cleanup capabilities to handle more complex data inconsistencies
- Delivered comprehensive reconciliation reports that provided immediate business value
